Creating a Well-Orchestrated Board Meeting Agenda

Your agenda for board meetings will assist you in achieving your goals and help make meetings more productive. It sets the tone for the entire meeting, outlines the topics to be discussed, and ensures that everyone has equal opportunity to participate.

In sending out the agenda in advance can help attendees be well-prepared and ready to participate. Also, it gives attendees the ability to ask questions and provide feedback in advance of the actual meeting. It is recommended that someone with a comprehensive knowledge of your organization’s goals, compliance requirements, and the current business environment direction in drafting a well-structured agenda for board meetings. Generally, this will be the founder of the company or chairperson of the board.

Start the meeting by introducing an order of the hour and a review of the previous meeting minutes. Then, include a space for reports from key department heads or committees (eg., governance committee rapport and finance committee report). It’s also an excellent idea to include a section for old business items (follow-ups or ongoing projects) and new business items (proposals or strategic initiatives).

Give each item on the agenda a specific amount of time, but be careful not to overdo it. Too much information could cause confusion among participants and hinder an open discussion. It is preferential to include more information in separate documents that can be provided to attendees who are interested later on, rather instead of cramming the agenda with unnecessary detail or long reports. The chairperson of the board will end the meeting once all issues open and any new business have been dealt with.
